SMG Construction supply high quality, custom built homes and renovations to luxury residencies in the Bahamas.

The Challenge

SMG store a wide range of construction and manufacturing items and materials on site, both for general use and allocation to client projects. With stock frequently coming in and out, stock levels need to be tracked and monitored in real time by employees.

SMG needed to manage their inventory list with a system that could book products in and out, and provide management with a concise, accurate view of stock levels.

In particular, they needed a way to track how many items were in general stock and how many were assigned to each project.

Our Solution

SBP used AppSheet’s QR Code function to set up an Inventory Management app.

Our unique customised solution monitors the client’s stock to suit their exact requirements. Employees can now allocate items into a customer stock area to give a clear sense of what belongs to who.

By simply scanning the QR code, an employee can keep track of existing stock levels and allocate stock to client jobs.

As our system is built in AppSheet, it can also link to Smartsheet to provide data storage. AppSheet records the movement of stock in and out at the front end, while Smartsheet stores that information at the back end.

This means it can update stock once it’s been booked out, and automatically send that data to a report, giving senior management a real time overview of the stock situation any time they need it.

The client has also taken advantage of Smartsheet’s own reporting tools, using the data for their own Reports and Dashboards.

How to manage IT projects and streamline a PMO across the Hyatt Universe

As the company grows the challenge of managing fundamental processes consistently across all sites grows too.  Hyatt wanted to formalise a complex project management process and build an IT solution which would automate the launching of the required assets and enable more integrated, cross-functional collaboration between 10 key business units, but leave the business units accountable for their projects too. 

The projects range from business-critical work against strategic objectives to repeatable jobs delivered by a department.  The level of governance of the projects was also important to build into the solution, streamline the project management process with high impact strategic projects being visible to members of the board and lower-level projects reporting progress but not in as detailed a way. 

The Vision

Angela Steele, AVP Technology Strategy & Project Management, had the vision and knew that Smartsheet could be the tool to use, but needed assistance in designing and building this PMO solution.

The Solution

SBP spent time with Hyatt, mapping out the vision into a Project Management Process Model.  From this model SBP designed and built out Angela’s vision using Smartsheet as the core product and using their own app Smarter Launch Pad to facilitate the creation of the project assets dependent on the governance level required.

Dashboards were used effectively to guide business units to the high governance projects requiring their involvement and to provide a way to create lower-level projects to track progress there also using Smarter Launch Pad.  Business Units can request cross functional project work, and they are also able to promote their lower-level projects into the higher governance projects if required.

The Complexity

High tier project template sets include Project Charter, Gantt Plans, Raid Logs, Executive Summary updates, List of useful resources and all dashboarding and reporting to surface progress across all. Lower tier project templates are just a Key Milestones sheet (in Gantt Format).

Each business unit has customised High Tier and Low Tier templates meaning that Smarter Launch Pad is assimilating 11 intake sheets and selecting from a set of 22 templates.

The Benefits

The many benefits that Hyatt experienced enabled a more streamlined Project Management system, with templates and automation to manage all the projects efficiently, including:

  • Hyatt is now using a centralised Project Management system with a documented Process.
  • Templates are used to create the assets across the whole organisation, meaning all projects are being managed in a consistent manner.
  • Complete visibility of progress is now available for all levels of projects.
  • Business Units are able to track and monitor tasks for cross functional work. 
  • Automation is now used to create the Smartsheet items required to manage the projects – this reduces bottlenecks and human error in creation of assets.

Roadnight Taylor are the leading consultancy specialising in grid connections for GB electricity networks. The decarbonisation and growth of the economy depends entirely on the deployment of smart and affordable network solutions and infrastructure where and when they are needed.  This is their area of focus.

Roadnight Taylor have moved to a 4-day work week, thanks in part to significant time savings and administrative efficiencies created through a Dynamics CRM and Smartsheet integration project combined with Smarter Launch Pad.

The Challenge

As this independent specialist grid consultancy grows, with new staff and services offered regarding the electricity networks, the challenge increases to manage processes efficiently across all functions.  

We identified one significant process for improvement:

  1. New opportunity data was entered into MS Dynamics, their CRM.
  2. On winning an opportunity, the correct Smartsheet template was identified manually from the pool of circa 15 templates (templates drove specific task lists tailored to the planned service).
  3. The Smartsheet template was then saved as new, so creating a task list sheet for each ‘won’ opportunity.
  4. Seven Smartsheet summary fields were then manually entered into the summary pane to enable the assigned engineer and other employees to find related data (thus duplicating data entry efforts as the data was already in the CRM).
  5. Finally, the new sheet was moved to a client folder.

Although this process worked, it required a licensed Smartsheet user to complete the process. Human errors occurred e.g. selecting the wrong template sheet; editing templates (instead of saving as new); entering incorrect data into summary pane fields.

The Goal

Roadnight Taylor wanted to automate the creation of the service driven Smartsheet task lists, while flagging an opportunity win in one system and populating the appropriate data quickly in Smartsheet. This would allow a quick, methodical approach to action ‘won’ tasks, while enabling full visibility for management.

The Solution for Roadnight Taylor is Smarter Launch Pad and a Dynamics Integration

Smarter Business Processes, working with Roadnight Taylor and their MS Dynamics consultants, created a solution using Smarter Launch Pad and the API from both systems:

  1. ‘Opportunity Won’ flag triggers the CRM to send key information through to a Smartsheet intake sheet.
  2. This in turn triggers Smarter Business Processes’premium app Smarter Launch Pad to select the correct template and merge the data from MS Dynamics into a new task list sheet.
  3. An automatic alert tells the administrator that the sheet is ready for use.

The Results

The new administrative process is much more efficient and has been fundamental  in enabling the team to reduce their work schedule to a 4-day working week.

Roadnight Taylor now receive ready to use service driven tasks lists in Smartsheet within minutes of adding data to CRM. It saves many working hours in the week, previously spent on administration. Hours of administrative time have been liberated because routine tasks are now fully automated:

  • Tasks are now automatically linked to unique CRM tracked opportunities.

– Time saved – Duplicating data across two systems is no longer necessary.

  • Thanks to automation no manual intervention is required.

– Time saved – Team no longer perform admin tasks in Smartsheet, nor are they waiting for a licensed user to create sheets. Instead, Smarter Launch Pad automatically deploys, populates and links  templates.

  • Data integrity is assured – The pool of Smartsheet templates are safe from inadvertent edits by humans.

Cidel is a Canadian private bank and asset manager which helps high net worth individuals and institutions protect and grow their wealth.

The Challenge

As a private finance company, compliance requirements at Cidel are very stringent. Risk and compliance measures are closely tracked and reviewed annually. 

In order to manage these efficiently, individual employees are assigned ownership of particular risks. It is their responsibility to track these, to make sure each risk has been reviewed and rated and complies to the relevant regulations.  

The challenge was to manage how these risks are assigned, and make sure each employee has access to the relevant regulations pertaining to that risk. With hundreds of risks and regulations to keep track of, Cidel needed a transparent, robust system to ensure the correct risk is assigned to the correct employee with all the relevant information available to them. 

In addition to this, each risk owner needed to be able to delegate their assigned risk. The system needed to let them grant risk assessment permissions to other employees when required.

Our solution 

We created a bespoke system from the ground up. We adapted out Smarter Dashboard Solution to create a website that enables any Cidel user to log in via Smartsheet and view any risks assigned to them. They can then examine all the information that’s relevant to that risk, assign the level of risk, and even specify what controls are in place to mitigate against it. 

The product has the capability to handle hundreds of employee logins, either as the risk owner or if the risk has been delegated to them. As a cloud based system it has the advantage of allowing the team access whenever they need it, and the efficiency of information updating in real time. 

We worked closely with the client and adapted the solution to fit their requirements as part of an ongoing development process.

Working in partnership with a key pharma client to deliver an App solution for a weekly check to all LEV assets in order to increase visibility and compliance of over 1200 assets, in real

time. The client required increased checks with accessible, auditable data to allow them to understand their asset base more comprehensively going forward. Their current format, held within their CMMS system, has limited reporting functionality and does not allow any analysis of key data such as failure by fault type or by manufacturer or highest use by location.

The Smartsheet Solution

After analysing the current data collection and understanding the additional data points required in building the weekly schedule, a Smartsheet and AppSheet solution was created to collect and hold inspection data for all LEV checks across all sites. AppSheet forms are used to update the LEV asset data with the inspection results, which then feeds to a set of Smarter Dashboards driven by data held in Smartsheet.

The dashboards give drill down capability to individual sites, allowing targeted analysis on risk data, inspection progress and failure statistics on assets.

SIP Build UK are the leading provider of Kingspan TEK SIPs (Structural Insulated Panel Solutions) within the UK.  SIPs are a high performance building system for residential and commercial construction.

The Challenge

The team at SIP Build UK have been using a purpose built tool for their pre sale process, which is effective and efficient for their needs. However, they were experiencing problems once the orders came through to the Design and Manufacturing departments. 

The orders were being tracked and maintained in silos with multiple MS Excel sheets, which were being manually updated across the departments. The need to duplicate data was time consuming, and date changes in one department weren’t showing the cascading effect they have across other areas of the business. Ultimately there was a lack of visibility across the organisation on the status of all the jobs.  

SBP were asked to provide a project tracking solution where;

  1. Visibility of all projects was possible across the relevant teams.
  2. The impact of date changes showed immediately.
  3. Dates were planned from the Estimated Project Date but then superseded by the actual dates of tasks.

The Solution

SBP created a project tracking solution with an intake sheet and multiple job sheets. The way the jobs needed to plan and report dates meant that inbuilt dependencies were unable to be used, therefore with extensive formulae the cascading required for date data flow was created.  Separate manufacturing sheets monitoring build elements were linked through to the job sheets too.  This was delivered with a detailed portfolio dashboard, tailored specifically for their requirements.  

SBP also streamlined the intake → job sheet creation process using an API program.

The IT Challenge

Working in partnership with a key client to deliver a Red2Green GAP Programme, the EMCOR team were using MS Excel to monitor risks across 6 customer sites. Whilst the Excel file had multiple tabs and held the required data, it was difficult to update and share, the formulae would often break and identifying project progress was not easy. Resourcing and monitoring time spent against each risk was cumbersome to manage, meaning some aspects were not monitored effectively. The customer was asking for more data analysis which was proving unsustainable to deliver in the current format.

The Smartsheet Solution

SBP analysed the MS Excel solution and designed a Smartsheet workspace which holds a single Activity Log for all sites. The activity log is organised and pre-populated with formulae meaning that the client need only adjust % Complete and Assignee data and add new risks as they are identified.

A time management area was added to the sheet to track main Assignee time and also extra support hours required per risk.

Sony Electronics is a leading provider of audio/video electronics and information technology products for the consumer and professional markets.

 The Challenge

As part of their recruitment process, the HR team at Sony have to manage and administer extensive lists of questions. These range from standard procedural questions to technical, more role-specific ones. These “question lists” are tailored for each role. 

When Sony approached us, they were already using Smartsheet to select and input their lists of questions, but were having to then put together each questionnaire manually, as there was no way to usefully format the list of questions automatically. Copying and pasting dozens of individual questions by hand was time consuming and prone to errors. They were looking for a way to automate this part of the process and transfer the list of questions to the relevant manager.

The Solution

We provided a two part solution. We created a link to a webform that the interviewers can access live, quickly and efficiently during each interview. This form gives the interviewers access to all the questions they need in one simple click. Using this form, the interviewers can submit their evaluation of each answer from the interviewee and provide an overall recommendation with comments. These responses are then sent directly back into the right place in Smartsheet. 

At the same time as the link to the webform is created, a PDF of all the interview questions is emailed to the Hiring Manager and attached to the relevant row in Smartsheet. This gives the interview team the option of printing out a PDF if they prefer not to have a screen in front of them during the interview process.

NHS Ayrshire and Arran is one of the fourteen regions of NHS Scotland and has a responsibility to provide health and social care to almost 400,000 people.

The Challenge

NHS Ayrshire and Arran were in need of a Dual Appointment Vaccine Booking System for rapid deployment. As SBP had already built this Smartsheet solution for NHS Tayside, which was already being used in COVID-19 Vaccination clinics, it made sense to have them adapt the system to their needs.

The appointments booking system offers real-time appointment availability and is able to manage two bookings at a time, the second being a customisable range of days after the first appointment. The system interrogates Smartsheet-held data and returns remaining available appointments in real time; something that couldn’t previously be achieved without our web interface tool.

Founded in 1979. Hansen Signs is now one of the largest sign companies in Atlantic Canada.  A full service National Sign Company, their services include design, fabrication, installation and maintenance all across Canada.

The  Challenge

As a committed user of Smartsheet, Hansen Signs were looking to get the maximum benefit from their investment in Smartsheet Control Center add-on, and add even more automation and efficiency to processing their client orders at a time of very high demand.  With no connectivity between their ERP system and Smartsheet, they found their processes were slowed by the necessity to manually transfer data between the two systems.  They asked Smarter Business Processes to help improve the workflow and to provide API connectivity to their ERP system.

The Solution

SBP have been able to connect the Smartsheet Control Center Intake Sheet directly to the ERP order information, so that data flows from the order into Smartsheet.  We have then developed the Control Center solution to aid the auto-provisioning of data, created more API programs to automatically find relevant task information from within the ERP system and have that data incorporated into the appropriate Project sheets, once they had been provisioned through Control Center.  During this work we were also able to update the Project Template with additional functions to add dependencies, flag tasks as complete, trigger workflows which all helps the Project Managers assess the orders and deliver their products and services.

The Benefits

The enhancements that Smarter Business Processes have delivered for Hansen Signs has

  • removed the manual movement of data, which eradicates the potential errors this could invoke
  • improved the speed of data flowing through the systems, as instead of orders being processed at the start and end of each day, the orders can flow through as and when they are entered into the ERP. This means the Project managers no longer need to wait until the next day to have the project data updated and keeps everything “top of mind”.
  • removed the bottlenecks that manual Control Center provisioning was causing, which has saved a lot of valuable time
  • improved the data content of the final Project sheet, which has saved a lot of time and also made the solution easier to work with

The enhancements have made a time saving of at least 2 hours a day, and has resulted in the high level of client satisfaction that we would normally associate with a Smartsheet Control Center Solution. Nick has said, these changes have made him very Happy Indeed.

I am very happy with the process of developing this solution in working with SBP. They were prompt to respond to our needs, creative and effective in their solution, and very fair throughout the process. The International Powered Access Federation (IPAF) promotes the safe and effective use of powered access equipment worldwide in the widest sense – through providing technical advice and information; through influencing and interpreting legislation and standards; and through safety initiatives and training programmes.

The Challenge

IPAF have auditors all around the world who monitor the compliance of powered access equipment training centres. They carry out different types of audit in several different languages, often in locations with no internet access. IPAF wanted an input tool that guided the auditors through each type of audit and allowed them to upload the completed audit to a centralised system, culminating in an audit report that can be emailed to the customer. They also wanted to be able to report in detail upon the data both from the completed audits and from their own system.

The Solution

SBP’s system architects developed an application in AppSheet that allows the auditors to input their audit data whilst on site using a smartphone, tablet or laptop in their language of choice. Upon completion of the audit entry (and when internet access is available), the data is uploaded automatically to a centralised SQL database. 

SBP also created a Microsoft Access interface for use by IPAF HQ, including a wide variety of SQL queries to report upon and amend the database data in the wide variety of ways that IPAF require.

Overnight (or on demand), all the day’s audits from around the world are incorporated automatically into IPAF’s large existing data set, and each audit report is generated in PDF form and emailed automatically to the auditor for review. At the same time, a set of Excel reports are generated, for use by IPAF HQ.

I should have done this years ago !!!

The implementation process was fantastic.  Smarter Business Processes really covered off on everything I needed and gave me some good pointers on how to get extra value.

I have worked with Smartsheet extensively with the DropDowns contained within the sheet itself.  Never again.  SBP’s Smarter Dropdown solution is so powerful for ensuring consistency of data, processes and reporting across Smartsheets, Projects, People, Divisions that it will simply become part of my Smartsheet license fee forever.

One of my main stoppers for company wide integration has been back ups.  Keeping the data is fine however losing formulae, conditional formats, automations and workflow would be heart breaking.  Not to mention costly and unnecessary downtime with rebuilding.  

Automating the back up  process with Smarter Backups gives me total peace of mind.  Worse case scenario, 2 minutes to fully restore total functionality vs days and costly downtime.
