Smartsheet will also be offering Filterable Dashboards during 2026 thus catching up with our own Smarter Dashboards. Filters are an essential dashboard feature that we’ve been delivering for clients over the past 2 years!  We’ve yet to explore Smartsheet’s new feature and but we expect it to deliver in the newer views, in the meantime though we will continue to provide our clients with our other forward thinking initiatives, which you can explore here, while we wait for Smartsheet to catch us up!

Forms Smartsheet Logic

Most people know that Smartsheet forms are a great way to collect data. They’re simple to set up, easy to share, and give you a straightforward way to capture information into a sheet. But far fewer people realise just how smart these forms can be.

With a little configuration, forms don’t just gather information, they guide the user, keep your data clean, and can even be personalised or send personalised responses. At Smarter Business Processes (SBP), we help clients unlock features like form logic, custom summaries, and prefilled fields to make forms more efficient, more accurate, and much friendlier for the end user.

Smartsheet form logic: show and hide fields

One of the most common mistakes we see is people making fields optional with notes like “Only fill in if applicable.” It’s confusing, it clutters the form, and it leads to incomplete or inaccurate responses.

Smartsheet’s conditional logic fixes this. You can configure forms so fields only appear when they’re relevant. For example, if a user selects “Requesting refund”, only then does a box for “Reason for refund” appear. If not, it stays hidden.

This approach keeps forms short and clear, which encourages more people to complete them as well as improving the quality of the data you get back.

Custom email summaries instead of “send me a copy”

By default, Smartsheet lets people tick a box to receive a copy of their responses. While handy, this option is limited: they simply receive a list of each field and answer, with no context or reference.

A smarter approach is to create a customised automation that emails back a formatted summary. For example, you can:

  • Include a unique reference number generated by Smartsheet.
  • Merge multiple responses into a single paragraph (“mail merge” style) for readability.
  • Add a thank-you message or next steps.

Instead of a list with no context, the respondent receives a professional, personalised confirmation reminding them of their entries. 

For instance: “Thank you for your 5-star review of our app. You commented ‘Great service’ and confirmed you’re happy for us to share this feedback. Your reference number is #12345.”

Prepopulating form fields

Another powerful feature is the ability to pre-fill fields. By adding simple query strings to your form URL, you can populate details such as name, email, or purchased product before the user even opens the form.

This reduces friction and makes it far more likely you’ll get comprehensive (and accurate) data. A customer leaving a product review doesn’t have to dig out their order details, they just click the link, confirm what’s already there, and type their feedback. 

Internally, teams can save time by pre-filling project IDs or client names to avoid duplicate entry errors.

Smartsheet Work Management Tool

When you first open Smartsheet, it’s easy to see why people think of it as ‘Excel online’.

You’ve got rows, columns, and cells. You can type in text, dates, and formulas. You can colour-code, sort, and filter.

But the reality is, Smartsheet is not Excel and using it like a traditional spreadsheet means you’ll never unlock its true potential.

The familiarity trap

Many organisations start their Smartsheet journey by importing existing Excel files. It feels logical because you’ve got working spreadsheets, so why reinvent the wheel? 

The problem is that Excel is a spreadsheet tool, whereas Smartsheet is a work management platform. They may look similar, but they’re built for different things.

In Excel, horizontal layouts are common. You might have columns for ‘Action 1’, ‘Date Due’, ‘Date Completed’, ‘Action 2’, ‘Date Due’, ‘Date Completed’, and so on. That works fine for a single user tracking their own work, but in Smartsheet, it becomes a nightmare for reporting and automation.

Here’s a real-world example.

We worked with a client who had a Smartsheet that collected data from end users, then tracked it through a complex process. Over time, they’d added more and more columns:

  • 17 date columns for different actions.
  • 17 tick-box columns for completion.
  • Multiple RAG status columns to track performance.

On paper, it worked. In practice, it was almost impossible to answer a simple question such as “How many actions were completed on time?” 

To summarise the data stored horizontally would have taken huge nested formulas and every time a new action/stage was added, the whole structure had to be updated.

The smarter (Smartsheet) approach

Instead of cramming every action into one massive, wide sheet, Smartsheet works best when you separate core data from actions. You keep your main data in one sheet, normally referred to as an intake sheet and log all related actions in a separate project or task sheet, sticking to one row per action.

This structure means:

  • All due dates for all actions live in one column (Due Date)
  • All actual completion dates live in another (Finish Date)
  • With a progress indicator column covering all actions, Status’ can be easily obtained
  • RAG balls can be updated easily

From there, you can run reports, create dashboards, and analyse performance without battling dozens of complex formulas. It’s scalable, collaborative, easier to manage, and plays to Smartsheet’s strengths.

Why this matters

Smartsheet’s real value comes from visibility. Dashboards, reports, and automations give you live, reliable insights but only if your data is structured to support them. 

If you build Smartsheet like an Excel spreadsheet, you’re stuck in a world of manual updates, limited reporting, and clunky workflows and you can never make the most of a dashboard overview.

By thinking in terms of data lifecycle rather than static tables, you can design solutions that grow with you. You can easily answer questions like:

  • Which actions are overdue?
  • Which team is hitting their SLA targets?
  • How many tasks are stuck in review?

The journey of Smarter Business Processes (SBP) began with a shared vision and a realisation. Back in the early 2000s, while managing a series of national events aimed at helping UK businesses embrace emerging technologies, Richard and Gwen Rymill saw a gap. Tools like Excel and MS Project simply weren’t cutting it anymore. Businesses needed something smarter: something truly collaborative.

That realisation led them to Smartsheet. And what started as helping new users create better workflows soon grew into a thriving business built on innovation, adaptability, and an unwavering focus on client needs.

Q: Tell us how it all started and how you got Smarter Business Processes (SBP) noticed?

“We built our early reputation by solving real problems and posting our testimonials online and it snowballed from there. We focused totally on what our clients needed and began developing a suite of apps that made Smartsheet even smarter.”

Q: What has the journey of building a company been like for you?

“Over two decades, we’ve gone from a two-person consultancy to a full team supporting clients across the UK, US, EU, and Australia. Gwen focused on making sure we were visible with great marketing and communications, and Richard crafted the solutions and nurtured client relationships.”

Q: Would you recommend starting a business with your spouse? What’s it like to work with family?

“Family life has always played a central role in the way we work. One of our rules has always been to respond to any enquiry as fast as possible, even if it means working at odd hours and that’s actually easier if you’re both invested in the same goals. We’re grateful that our happy and stable home life has put us in great shape mentally to develop the business successfully.”

Q: How would you describe the culture of SBP?

“It’s always been about flexibility, responsiveness, and empathy. That’s why we’ve become known for high-quality service, and why clients continue to come back. As we’ve grown, we’ve added openness and inclusivity and teamwork by proudly handing more responsibility to the team.”

Q: What’s a great piece of advice you received and would pass on again?

“We were told early on: always hire people more intelligent than you. And we did. Every member of our team brings something unique. There’s no ‘i’ in team and our people demonstrate the power of that every day.”

Q: What’s your proudest achievement? 

“Definitely that we’ve built a values-led company that succeeds by collaborating, not selling. We work with people who share our approach and values and, because we always put people first, whether they’re clients or team members, we’ve had long-term success that we’re extremely proud of.”

Q: Businesses are always changing and evolving. What is your experience of handling this?

“Client needs have shifted in terms of tools and platforms, but for us, the fundamentals remain the same. People still need systems that are easy to use, collaborative, and make it clear what needs to be done, when, and by whom. Executives still need visibility to make smart decisions. We’ve simply kept adapting with the technology.”

Q: What’s your greatest motivation?

“The feedback we get from clients speaks volumes. Comments like “You’ve saved me a week a month” and “I love my job again” are what keep us going. We also love the way technology is now serving humans better and we’re excited about what’s still to come.”

Smartsheet’s AI tools

What are Smartsheet offering?

As part of their Enterprise Plan, users can access a suite of four AI tools: Generate Formulas, Analyze Data, Generate Text and Summaries, and Get Help.

These don’t enable you to do anything that isn’t already possible on Smartsheet, but they do simplify the method of achieving the output. In other words, they enable the user to input a written request which is then interpreted and the work – be that a formula, a written summary, a chart or the answer to your FAQ – is done for you.

In essence, these tools are time savers and will make the broader functionality of Smartsheet more accessible for non-technically minded users.

Let’s look at an example. 

If you wanted to generate a formula but weren’t familiar with the type of coding this requires, you can instead tell the Generate Formulas AI tool to “find the sum of [column 1] and [column 2]”.

In addition to autocomplete options for the various columns you might want to add together, the system then creates the correct formula and applies it to the selected cells.

Or you could use the Analyze data element to create a chart, by saying “I want a chart comparing x to y” and voila, a chart appears.  These examples are pretty simple but as the formulas get more complex or the data builds up for charts, it’s easy to see the value this could bring. 

What Smartsheet have cleverly done is move the functionality of their help and learning community into their sheets; as they say, changing the focus from ‘how do I?’ to ‘do it for me’.

This feels very much like the start of a new era, with Smartsheet teasing some of the future capabilities that they are working towards and saying “the possibilities are endless.”

Are you saving or investing time?

Before we go, here’s some food for thought. We all know the working world is speeding up and people are getting busier. As a result, burnout is on the increase and wellbeing costs businesses time and money in itself.

If you decide, therefore, to invest in AI to save time, have you considered what you’ll do with the time you save? It’s often too easy for firms to reduce headcount or load people up with additional tasks to replace the ones they’ve automated.

Smartsheet broach this subject in their article, How generative AI will enable Smartsheet users to be even more effective, saying one of their guiding principles is to ‘empower humans to do more’. This theme of using AI to unlock human potential is important.

Consider the example set by a leading Australian software company. They leverage time saved through the use of AI and automation to allow their developers one day per year to work on any project of their choosing. This focus on innovation has led to significant improvements to their own products as developers use the time to address non-core bugs or investigate even better ways of working.

We worked with Dan to design and build a custom Airtable solution tailored to his business needs. By integrating Airtable with Xero, we created an automated workflow that eliminated the need for manual data entry. The result? Dan now has a system that not only saves him time but also reduces the risk of errors, while delivering the insights he needs at a glance.

As Dan put it:

Even over the past few days there has been news coverage of increased risk to the UK from cyber warfare.
