It also offers customisable logos, colours and layout types, filtered from an admin sheet. We can do this for you as part of the set-up* but you will also have permissions to make your own changes. For added security, we can also offer multi factor authentication log in to your Smarter Dashboards account.

How is it different from standard Smartsheet Dashboard?

The Smarter Dashboard lets you streamline your data analysis. Use one dynamic dashboard where you might otherwise use twenty. Use a small number of charts per dashboard where you may otherwise have needed dozens. Filter the data based on any parameters. Navigate to any data subset by clicking on the relevant graph or chart. Edit your raw data from within your dashboard.

As well as the standard pie and bar charts, it can also offer multi axis line charts, scatter charts, bubble charts, polar area and combinations among others!

We’ve been working away behind the scenes to create this solution, to feature a client configurable, interactive, filterable, live interface which gives you visibility of the data you need.

How exactly does it work?

Smarter Dashboards reads data from a Smartsheet and presents it in graphs, charts and tables, allowing you to filter the data in any way you like, and edit your content directly within the dashboard.

It uses the API to communicate with Smartsheet but the code is written in PHP, sitting on one of our AWS instances. This means we can customise a range of options as part of the set up cost. We can also offer customisable logos, colours and layout types, filtered from an admin sheet. We’ve also expanded on the range of graphs, allowing you to create multi axis line charts, scatter charts, bubble charts, polar area and a range of others.

Why did we create it?

Smarter Dashboards was a response to a multitude of clients who wanted to drill down into their data directly within a dashboard. Lots of customers were looking for way to edit an existing row in Smartsheet from a dashboard and this does that too.

We first saw an early version of this in the June Tips and Tricks webinar, Time to Talk Dashboards. How much has it changed since then?

Since the webinar we’ve added the option to edit data directly within the dashboard. There is also now a search box so you can filter data on text. Another new feature is that you can drill down into your data simply by clicking on the segment of a chart or graph and it will show just the data that makes up that element. Really useful for honing in on subsets of data!

Until now, sharing an entire workspace was possible, but doing so granted access to every single sheet in the workspace. In our newest product upgrade, you now have the ability to share only as much of the workspace as you need, either internally or externally. This allows for more discretionary sharing — a solution to one of our top user requests.

Now you can be selective and purposeful in what data is sent, saving you immeasurable trouble or embarrassment by keeping information out of the hands of those who don’t need it. Differential sharing also simplifies sending data to clients, consultants, and contractors. Select the exact sheets within a workspace you’d like to send to internal or external individuals. You decide how much of your workspace collaborators see.

How improved workspace sharing works

Workspace members who are granted sharing permission will see two buttons on the Sharing form for a sheet or report in their workspace:

1. Share Sheet shares the sheet individually.
2. Share Workspace shares the workspace.
3. When sharing a workspace, choose only those sheets that you desire recipients to see.
4. In the sharing list for a sheet in a workspace, icons show who has access to the entire workspace versus who is shared only to the sheet.
