Welcome to Top Tip Tuesday and today we are highlighting the latest Smartsheet User Subscription Model and signposting you to some articles that might help you understand the changes taking place.
Read on for a high level overview of the changes, along with a link to the FAQs on their website but our main message is DON’T PANIC, talk to us and we can guide you to optimising your collaboration within your solutions.
Don’t forget, if you currently have a high number of free collaborators and are worried about the subscription changes, then consider our Smarter Dashboards tool, which will still allow all your users to view and edit your Smartsheet’s without the need for individual licenses.
Smartsheet User Subscription Model Overview…
New Smartsheet Plans purchased from June 2024 (and renewals of existing Smartsheet Plans from Jan 2025), will see a subscription model where all internal creators and editors are required to pay for their Smartsheet access.
User collaborators accessing your Smartsheet will be classified as either Members, Guests or Viewers:
Members – this are collaborators that are accessing Smartsheet via the same domain as the licensed Smartsheet Plan. All Members that Create or Edit Smartsheet items, will be Paid License holders via user auto-provisioning (UAP) by a system admin.
Guests – these are External users, i.e. users that access Smartsheet from a different domain to that of the plan hosting the items being accessed. Guest users are FREE and can still have editor permissions.
Viewers – these can be Internal Members or External Guest users collaborating with your Smartsheet Items using Viewer permissions only. These remain FREE collaborators.
